Bibliography

For own IP rights all bibliographic data, abstracts from internal or external sources, classifications, internal or external codes, descriptors and more retrieved from any source can be stored. With this information, a complete IP Information System can be established even if no in-house data are available.

For literature, which does not originate from electronic sources, manual data entry is available. Through a fully customisable data screen, literature can be entered manually that is only available e.g. as paper copy, congress proceedings or oral information.

For users of our Patent- and Trademark Administration Systems PC Master / IP Master a link is available to the case information stored in that system.

 

Full text

From different sources the full text of intellectual property rights is available. It can be stored in Info Patent together with the bibliographic information. The full text may be stored as text information or as a document in the Adobe PDF format. Interfaces to MicroPatent and esp@cenet allow downloading the PDF files directly from their servers.

A Search Module, which will retrieve the full text automatically from different vendors, is in preparation.

 

Searching

Field oriented searches as well as full text searches are available in all fields desired. Word and phrase indexing may be defined for each field individually. The search mask may be defined by the client individually. Colours and layout can flexibly be selected according to a corporate design.

Boolean operators, near searching and wild card searching are available in all fields together with full text retrieval

 

Search profiles

Info Patent allows automatic searching for predefined terms. For this purpose, based upon user or groups, search profiles can be defined which are executed automatically at a given time. The results may be shipped to the users by electronic mail automatically.

 

Alerts

Users may receive automatic alerts after new information has arrived in the literature database. New information will automatically be searched at a predefined time using the stored search profiles. The results are sent to the user by e-mail.

Mail messages which contain documents attached, do not transport the actual document but only active links to the documents. This guarantees that all users have access to all documents at any time and that every user always sees the newest version.

 

Customisation

All search masks, hit lists and document print formats may be customised according to the company design requirements. Based upon style-sheets and HTML code the system can be integrated into the Intranet or, if so desired, into the Internet representation of a corporation.

Search Storage

 

Data Sources

Data sources for the search for new, additional information are the publicly available databases of intellectual property information which offer their data either for free or for a license fee. This information can be integrated into Info Patent ready for searching after manual or automatical reformatting. As a complement to the information stored for own IP rights as well as to conduct surveys over the competition or the state of technology, current awareness searches can be run and transferred into the storage system.

 

Processing

Processing of the data takes place manually or automatically after the search results become available. Import and indexing are initiated manually or automatically automatically. The same process notifies users that new information has arrived in the database.

 

Custom Format

Reformatting is provided for the majority of the public data sources. Download filters are available for the most popular data sources.

Document Management

 

Documents

Document management in Info Patent covers the popular document types created by the Microsoft Office products as well as Adobe PDF files. Especially MS Word and MS Excel documents can be saved in the database. A link between the document and the bibliographic record allows direct retrieval of the document.

The content of MS Word documents is automatically transferred into indexed information upon a hit to the save button in MS Word. This text information is created as bibliographic record for the document and makes the document retrievable in a full text search.

 

Updating

A version control allows to work with MS Word and Excel documents with either storing an updated or new document after editing information.

 

Links

All common types of saved documents can be linked with documents in PC Master / IP Master. The link is created to the bibliographic record of the stored document.

Assessment System

 

Comments

For each document every authorised user may add comments and save it with the document. This comment may consist of a set of pre-defined phrases that are just selected from a list or of free text of unlimited length.

Comments appear at the end of a document and may be for example the basis of decisions.

 

Access Rights

Comments can only be added by authorised users. Authorised users can although not modify the comments of other users. They can only edit their own comments.

Altert System

 

e-Mail Messages

If new information arrives in the literature database e.g. from current awareness searches or manual searches in public databases at project start, those users who have stored search profiles in the database either as users or as member of a user group are automatically notified by e-mail. Those documents retrieved by the search profiles are found as active links in this e-mail. Activation of such a link shows the document always in its newest version especially with the latest comments and information provided by other users. Old versions of a document are automatically exchanged with the new ones.

 

Access Rights

Access rights to the e-mail system can be tailored to the clients needs. Only authorised users are allowed to receive the latest information automatically by e-mail.

Search Engine
 

Search System

It is planned to add the capability to Info Patent to update its database with the latest information from public sources automatically. For this purpose, search profiles are created on the public host systems, which are executed there. The search results may be updated documents, which replace existing documents in Info Patent or new information, which is just added to the Info Patent database. All processing takes place automatically.

 

Databases

As public databases, public host systems like STN, Dialog, Derwent, Questel etc. may be considered. Patent offices in the mean time also offer information free of charge.

Download filters are available for the most popular data sources to incorporate the new information automatically into the existing storage.

Interface to esp@cenet

 

esp@cenet

Through the network of esp@cenet patent information is availble free of charge from the European Patent Office, the WIPO as well as from the national European Patent Offices or the associated national Patent Offices respectively, the U.S.A. and Japan. This information can be search from within Info Patent and loaded into the literature database afterwards. Reformatting as well as loading takes place on a hit to one button. A eventually existing PDF file with the original application will be loaded into the database as well.

The documents found can be processed manually and linked to cases stored in the patent and trademark administration system PC Master / IP Master.
